SwimSightsPrivacy Notice
This notice explains what personal data SwimSights collects, why, and your rights over it. SwimSights is a performance-analytics and parent-engagement service for competitive swimming clubs. We take particular care because we handle data about children.
Who we are
SwimSights ("we", "us") is operated by Anna Gereg and James Mandikos. For any privacy question, or to exercise your rights, contact us at hello@swimsights.com.
Two different roles
We handle personal data in two distinct contexts, with different responsibilities:
- This website & enquiries. When you use the enquiry form, we are the data controller for the details you give us.
- The SwimSights app, used by a club. When a swimming club uses SwimSights, the club is the data controller for its swimmers' data and SwimSights acts as the club's data processor, under a written agreement. If you are a swimmer or parent, the club that invited you decides what is shared and is your first point of contact; this notice explains how we process that data on the club's behalf.
What we collect and why

Competition times and rankings are already published publicly by Swim England; we present them more clearly. We do not sell personal data or use it for advertising.
Children's data & safeguarding
- Access is controlled by the club and is off by default — a parent only ever sees their own swimmer, never other children.
- We collect the minimum needed and apply access controls at the data level, not just in the interface.
- Photos and video of under-18s are coach-only by default, require consent, and any AI-assisted feedback is reviewed by a coach before a parent can see it.
- A club can revoke a person's access at any time, and we will delete data on a club's instruction.
Who we share it with (subprocessors)
We use a small number of trusted providers to run the service. They process data only on our instructions, under contract:
- Google Firebase — secure hosting, database and storage (data held in the EU / europe-west2 region).
- Anthropic — optional AI-assisted coaching features; where used, content is not used to train their models.
- Resend — sending transactional and notification emails.
How long we keep it
Enquiry details are kept only as long as needed to deal with your enquiry. App data is kept for as long as your club uses SwimSights, and is deleted (or returned) on the club's instruction or when a swimmer leaves, subject to any legal retention requirements.
Your rights
Under UK data protection law you can ask to access, correct, delete or restrict use of your data, and to object to processing. For data held on behalf of a club, contact your club first; we will support them. Email hello@swimsights.com for anything else. You also have the right to complain to the UK Information Commissioner's Office (ico.org.uk).
Cookies & tracking
This site uses only what's needed to make it work; we do not use advertising or cross-site tracking cookies.

We may update this notice; the "last updated" date above shows the current version.
